The right tent size is driven by how guests will use the space — seated dinner, cocktail reception, dancing, catering, a stage — and how much room you want between them. This guide gives you the rules of thumb our team has used on Houston events since 1997, so you can walk into your planning with a realistic number.
Start with how guests will be seated
The single biggest factor is your seating style, because it changes how much space each guest needs:
- Cocktail / standing reception: roughly 5 to 6 square feet per guest. Guests mingle, so you need less room per person.
- Seated dinner, rows of chairs (ceremony style): roughly 6 to 8 square feet per guest.
- Seated dinner at round tables: roughly 10 to 12 square feet per guest, since you are accounting for the table, the chairs, and room to walk.
These are starting points, not final answers — but they get you in the right range before you add the extras.
Add space for everything that is not seating
Here is where most do-it-yourself estimates fall short. A tent is not just chairs; it holds everything that makes the event work. Add square footage for:
- A dance floor — plan for additional space sized to how many guests will dance at once
- A stage, band, or DJ — performers and equipment need their own footprint
- Catering and buffet tables — serving lines, drop-off, and bar areas
- A head table, cake table, gift table, and registration
- Lounge or VIP seating
Each of these adds up quickly, which is why a 100-guest seated dinner with a dance floor and a band needs noticeably more tent than 100 guests in simple rows.
A quick reference for common guest counts
As a rough Houston starting point for a seated dinner with a dance floor:
- 50 guests: plan in the range of roughly 750 to 1,000+ square feet
- 100 guests: roughly 1,500 to 2,000+ square feet
- 150 guests: roughly 2,250 to 3,000+ square feet
- 200 guests: roughly 3,000 to 4,000+ square feet
