How many chairs do you actually need?
More than your headcount, and in more than one place. The most common seating mistake we see is ordering exactly the number of confirmed RSVPs, then discovering on the day that the ceremony, the dinner and the lounge all needed seats simultaneously.
- Seated dinner — guaranteed guest count plus five to ten percent for walk-ins, vendors, and children who turn out to need a chair after all.
- Ceremony then reception — decide early whether chairs are physically moved between the two. If yes, budget crew time for the flip. If no, you need two sets.
- Standing reception or open house — seating for roughly thirty to fifty percent of attendance, concentrated in lounge and rest areas so older guests always have somewhere to land.
- Conference or seminar — full count plus a spare row, and upgrade to padded if the programme runs past two hours.
Seating count also drives tent size, because rows of ceremony chairs, round tables with chairs and long banquet tables consume very different square footage per guest. Spacing and layout basics
For theatre-style rows, allow about 18 inches of width per chair and 36 inches between rows so guests can pass without the whole row standing up. For a 60-inch round table, eight chairs is comfortable and ten is tight. For 8-foot rectangular banquet tables, plan eight on the long sides plus two on the ends if you need the capacity. Always leave a clear 44-inch aisle for accessibility and so catering staff can serve without reaching across guests.
Delivery, setup and collection
Every chair order includes delivery to your venue in a scheduled window, and we offer full setup so chairs are placed and straightened before guests arrive rather than left stacked on a loading dock. After the event our crews return to break down and load out.
We deliver throughout Houston and the surrounding metro — Katy, Sugar Land, The Woodlands, Galveston, Pearland, Cypress, Spring and Missouri City. Because we run our own trucks and crews rather than subcontracting, chair delivery can be coordinated in the same window as tents, tables, linens, flooring and staging, so your venue receives one delivery instead of five. Houston weather and your seating choice
Outdoor seating on the Gulf Coast has to survive heat, humidity and the sudden afternoon downpour Houston specialises in. Upholstered banquet and ballroom chairs should stay under cover; they absorb water and stay damp for hours. Resin, metal and Chiavari chairs shed water and wipe dry quickly, which makes them the safer outdoor choice. Dark metal chairs in direct August sun get genuinely too hot to sit on, so plan for shade or a lighter finish.

Matching chairs to the rest of the room
Chairs are the most numerous object in most event photographs, which gives them more visual weight than their cost suggests. A few pairings that consistently work in Houston venues.
- Chiavari with floor-length linens — the classic upscale reception look. Gold or mahogany with warm linens, silver or clear with cool palettes.
- Crossback with bare farm tables — do not add linens. The whole point of both pieces is visible wood grain.
- Folding chairs with full-length linens — if budget requires basic chairs, dressing the tables properly draws the eye away from the seating. Chair covers are an option but often read worse than a clean folding chair.
- Barstools with highboys — match the stool finish to the highboy linen or cover, not to the dining chairs.
- Benches at ceremonies — work beautifully outdoors and seat more people per linear foot, but they are harder for older guests to get in and out of. Mix in chairs at the ends of rows.
Accessibility and guest comfort
Worth planning rather than improvising. Keep a clear 44-inch route from the entrance to seating, to the bar and to the restrooms, and leave designated spaces in the seating plan for wheelchair users with a companion seat adjacent rather than making someone sit apart from their party.
Chairs with arms are markedly easier for elderly guests and anyone with mobility or joint issues to rise from, so it is worth ordering a handful even if the main order has none. Avoid backless stools as the only seating at a long standing reception. And if the programme runs past two hours, padded seating is not an indulgence — it is the difference between guests staying and guests leaving.
Quantities, spares and the things that go wrong
Order a small spare allowance. Chairs get damaged in transit occasionally, guests arrive with unannounced plus-ones reliably, and vendors need somewhere to sit during a long day. Two to three percent over your count costs very little and removes an entire category of event-day problem.
Two other practical notes. First, confirm who is responsible for stacking at the end — if it is not us, someone on your team is doing it, and they should know that in advance. Second, if your venue has a loading restriction, a lift, or a long carry from the truck to the room, tell us at booking. Carry distance is the single biggest driver of setup labour and the most common cause of a delivery running late. Normal wear is expected and covered. Genuine damage or loss is billed at replacement cost, which we review with you beforehand so there are no surprises. Keeping chairs out of standing water and off soft mud is the single best way to avoid any charge.
