A planning guide for Houston corporate events — what to decide, in what order, and how far ahead.
Corporate events fail in predictable ways: the date is booked before the venue is checked, the headcount moves, and nobody costs the weather. This is the order we’d work in.
What Do You Decide First?
Not the date. The date is what everyone locks first and regrets.
Decide the purpose — a product launch, a client dinner, an all-hands and a company picnic want completely different rooms. Then headcount, and be honest about the range rather than the number on the invite list. Then the site, and whether it can physically take that many people.
Date comes after those, because some sites need a different one. Locking a date against a site nobody has measured is the single most expensive mistake in this list — see site surveying.
How Far Ahead, Really?
Further than you think for the things you cannot compress.
Permits and fire marshal review have fixed lead times and do not care about your quarter — see the Houston permit guide. Peak season (spring and autumn weekends) books out. So does anything that needs a specific structure.
What compresses: furniture, linens, most AV. What does not: the tent, the power, the permit and the crew.

What Does Houston Weather Cost You?
More than any other line, and it is the one people leave out.
An outdoor corporate event between roughly May and September needs air conditioning, and air conditioning needs walls — you cannot cool an open-sided tent. That means the tent, the sidewalls, the AC and the generator to run it are one decision, not four.
Winter evenings catch people out more often. And rain is not a maybe here: an event with no covered plan is an event with a 30% chance of being cancelled.
Budget the weather at the start. Adding it in week three is when it gets expensive.
Who Owns What On The Day?
Name people, not departments.
Someone owns the run of show. Someone meets the delivery. Someone has authority to spend when something goes wrong at 4pm. If those are unnamed, they default to whoever is nearest, which is usually you.
The vendor count matters here too. Every supplier is another person to brief and another seam to fail — event management exists to collapse that into one crew and one contact.

Assume it will. An outdoor Houston event with no covered plan is an event with a real chance of being cancelled. Covered space is the cheapest insurance on the budget.
